Applied Systems were Delighted with Our Conference Production and Management for their Annual Conference.
Applied Systems are a valued and returning client of ours. Most recently they have used our conference production services in 2015 and 2016 , so we were delighted when they contracted us again this year. This article details what we did to deliver a challenging brief, both in terms of the conference room and some technical challenges, and shows why the client was happy to give us a positive testimonial.
The Details of this Conference Production – 2 Conferences in 1
Our brief was to produce and manage Applied Systems’ Applied Executive Symposium & Applied Net UK 2017 Networking Conference – two events in one. A major event for the company, it took place on 10th and 11th October 2017, at the famous Belfry Hotel’s Lichfield Suite. There were 100 delegates.
Our Input Centred Around Advanced Technology AV Support
We provided full AV support for the two conferences over both days.
- Day 1 was the Applied Executive Symposium and
- Day 2 was Applied Net UK.
This meant each day had different audiences and different content, and we also had to change the branding between days too.
Content was delivered via a combination of PowerPoint, several videos and various live demonstrations on the web. To ensure faultless performance when live, we installed a dedicated internet line so all live demonstrations would work seamlessly. We also utilised Apple TV for a wireless link to the presenters’ ipads and iphones.
There were some technical challenges – and the room was quite small too
Most conference production events present their own challenges. In this case it was the room itself, which was quite small with a very low ceiling. To overcome this, we decided to utilise a twin screen set to enable clear sight lines for all of the audience wherever they were sat. Screens were supplied by 2 x 10k HD laser projectors so image quality was bright and fantastic.
To save on space we had video and graphics operated from behind the set, whilst the crew communicated through headsets and our comms system.
The lighting package was simple yet effective with 6 moving lights, generic lighting, battens for the set line and wireless lighting around the room, all LED controlled through our digital lighting desk. We supplied a variety of presenter aids due to the large number of presenters each having their own requirements. These included:
- Comfort monitors,
- Separate monitors for speakers’ notes,
- Timing screens and prompts.
Because of the room, the PA system had to be compact yet high end, so we opted for our 24 channel digital desk and a 4 speaker PA with subs behind the set. 6 radio mics were onsite plus wired mics to the branded lectern. The show was operated by 4 crew and we had an additional 2 crew for the install and de-rig.
